Six steps

Your first week with Novex, step by step.

The same loop a freshly signed-up shop owner walks during onboarding week — no demo data, no mockups. Each step maps to a real part of the product: the setup wizard, receptionist configuration, scheduler booking, confirmation texts, and review follow-up.

  1. 01

    Business setup

    Tell Novex about your shop.

On signup you give us the basics — trade, service area, hours. In the onboarding wizard you refine the address, day-by-day hours, and which calls you want the AI to pick up. Five minutes of review-and-confirm before anything goes live.

  2. 02

    Receptionist configuration

Pick the AI’s name, voice, and transfer list.

Pick the AI’s name and voice, set the greeting, choose which calls it should answer (after-hours, overflow, every call), and add the people / departments it can hand a live caller to (Owner, Service, On-call). All editable from the dashboard — no engineering ticket.

  3. 03

    Test call

Hear the AI on a real test call before it goes live.

A test call routes through the same pipeline the AI will use on day one. You listen back, log a thumbs rating, and write a correction if anything sounded wrong — that feedback feeds the dashboard and retunes the script before the first real caller hits the line.

  4. 04

    Appointment booking

The AI writes the job straight into your scheduler.

When a caller is ready to book, Novex writes the appointment into ServiceTitan, Jobber, or Housecall Pro on the same screen your dispatcher already uses. Triage notes, address, and the customer record go in pre-filled — no retyping the call.

  5. 05

    SMS confirmation

The caller gets a confirmation text before they hang up.

A two-touch confirmation text goes out the moment the appointment is booked, and a 24-hour reminder lands the day before. Both run on the Novex appointment-reminders schedule — the same texts your office would send, only automatic.

  6. 06

    Post-booking review follow-up

Every completed job gets a Google review nudge.

Once the job is marked complete, Novex sends the homeowner a short text asking for a Google review. The Novex review-nudge dispatch decides when to send — so you don’t burn the relationship on a job that went sideways.

What you get

Four things every onboarded shop leaves with.

Only capabilities the platform actually ships today. If a feature isn’t in this list, it isn’t part of your first week.

  • A voice-trained AI receptionist on your number

Picks up in under a minute, around the clock. Answers with your business name and the greeting you wrote in Step 2.

  • A two-way hand-off to your existing scheduler

Writes appointments into ServiceTitan, Jobber, or Housecall Pro with triage notes pre-filled. No new tool for your dispatcher to learn.

  • Confirmation + reminder texts, automatic

A confirmation at booking and a 24-hour reminder the day before. Sent through the Novex SMS pipeline, not from your personal phone.

  • A review nudge on every completed job

Quiet ask for a Google review once the job is marked complete. Novex decides timing — so a bad job doesn’t get asked the same day.

Request a demo

Ready to see Novex pick up your real calls?

A demo gets you on a 20-minute call with a Novex specialist who walks your real call-flow against the platform. No setup required — you leave the call with a written shortlist of what changes for your shop.
